Sending session invites

When you schedule a session with automatic invites turned on, Pluto emails each recipient a secure link to join, along with a calendar file they can add to their own calendar. By default the invite goes to the client's primary contact, but you can change who receives it and add more people. For how contacts work, see Contacts & email invites.

Choosing the recipient

When automatic invites are on, the session form shows the client's primary contact as the default recipient. To send this session's invite to a different address, choose Change and enter the new email.

At that point you can also save the new address as the client's primary contact so it becomes the default for future sessions too. Leave it unchecked to change the recipient for this one session only.

Adding more recipients

Choose Add another recipient to send the invite to more people, such as a second parent, a carer, or a support worker. Each one receives their own link and joins as a secondary participant. You can add as many as you need, and remove any of them before you save.

Every session has a unique link and a short session code, whether or not you send email invites. To find them, choose Get link on the session card.

From there you can copy the session link, copy the session code, or copy a ready-made invite message (with the date, link and code) to paste into an email or message yourself.

When invites are sent

If a session starts within the next 24 hours, its invites are sent straight away. If it's further off, Pluto holds the invites and sends them automatically about a day before the session so they arrive at a sensible time rather than weeks ahead. You can trigger an invite to send immediately using the Get link panel on the session card in the dashboard.

Managing invites after scheduling

The Get link panel also shows who has been invited, and the status of each invite: Sent, Pending, or Failed. From here you can resend an invite to someone who has already received one, or send one immediately to a recipient whose invite is still pending.
